Privacy policy

Interim policy — September 30, 2026. This initial notice supports development and Google authorization. It will be reviewed and updated with the Towns before public report submissions are enabled.

The Wetherill Nature Preserve is jointly owned by the Towns of Hunts Point and Yarrow Point. This website provides public information and a restricted portal for authorized commissioners and Town administrators.

Public visitors and issue reports

You can browse public information without signing in. Public issue reporting is planned but is not yet available. When enabled, it will ask you to sign in and, with your permission, provide your name, email address, report details and location information relevant to the issue. We will use this information to review the report, follow up with you and care for the Preserve.

Device location will require your permission; this site does not currently request it. Future report forms will explain how location is used before collecting it. Do not submit sensitive personal information about yourself or others that is unnecessary to the report.

Report descriptions and general issue locations may be published. A reporter’s contact details and precise device location will not be automatically displayed publicly. Public-records disclosure is a separate process described below.

Commissioners and Town administrators

Authorized users provide their name and email address for account identification and access control. We record activity associated with financial documents, ledger entries, corrections, imports and donor administration, including who performed a recorded action and when, to support accountability and reconciliation.

The portal may hold financial documents, source spreadsheets, invoices, donation records and donor contact or giving information. Access depends on the user’s role. The public website does not provide unrestricted access to donor records or administrative accounts.

Google sign-in and Drive access

Google sign-in verifies your account identity. We do not receive your Google password. An admin may separately authorize read-only Google Drive access so the server can download configured finance sources and reconcile them with the Preserve’s records.

Google’s read-only Drive permission covers files accessible to the authorizing account. Our sync downloads only the files and direct folder contents explicitly configured for this purpose. It does not edit or delete files in Google Drive. Downloaded copies are stored privately with the financial records.

We retain an encrypted authorization credential so the server can perform later syncs without the admin’s browser being open. You can revoke access in your Google Account connections. Revocation stops future authorized access; it does not remove copies already retained as agency records.

Our handling of Google data follows the Google API Services User Data Policy, including its Limited Use requirements. We use that data to provide the disclosed account and records-management features. We do not sell it, use it for advertising, or use it to train general-purpose AI models.

Public records and disclosure

Records held by the Preserve and the Towns may be subject to Washington’s Public Records Act, chapter 42.56 RCW. Financial documents are public records, subject to applicable exemptions and redactions. Donor information may also be available upon request, with the Town determining what must be disclosed or withheld under law.

A restricted portal or a request for privacy does not by itself create a legal exemption. We do not promise absolute confidentiality. We may disclose information when required by law or to address security incidents, and to authorized people and service providers who operate this site or administer Preserve business.

Storage, cookies and retention

Server hosting and database services, including Railway, process information to operate the site. Google processes authentication and authorized Drive requests under its own policies. Hosting services may process technical request information such as network addresses and request times for operation and security.

We use essential cookies to maintain sign-in and protect Google authorization. We do not use advertising cookies. Access controls and encryption protect account credentials, but no system can guarantee complete security.

We retain records according to applicable public-records retention requirements and operational needs. Imported source versions and correction history are preserved rather than silently overwritten. Requests to correct or remove information are considered subject to those requirements; revoking consent does not require destruction of records the Towns must retain.

Questions, corrections and records requests

Contact the Yarrow Point clerk’s office or the Town of Hunts Point for privacy questions, corrections or the appropriate records custodian. Use the Towns’ established public-records process, including Yarrow Point’s public-records request page, to request records.
